Privacy Policy

This policy explains how the Leadership in the AI Era course portal (brooksholtom.com) collects, uses, retains, and protects your personal data, and how you can exercise your rights under the GDPR.

What we collect

Registration: your name, email, phone, city/country, and a self-reported AI-capability level — used to enrol you and run the course. Account: an authentication record (email + password) so only you can reach your materials. Your uploads: the artifact files you choose to submit — stored privately and visible only to you and faculty.

Legal bases

We process your registration and uploads to perform the course contract with you. Optional marketing emails are sent only with your separate consent, which you can withdraw at any time.

Processors & sub-processors

We use Supabase (database, authentication, file storage), Resend (transactional email), and Vercel(hosting and analytics). Each processes data on our behalf under a data processing agreement.

International transfers

Our infrastructure may process data outside your country. Where required, transfers rely on appropriate safeguards (e.g. Standard Contractual Clauses). [Confirm hosting region + transfer mechanism before launch.]

Retention

Uploaded artifacts and their combined bundle are kept for up to 30 days after you upload them, then deleted automatically — both the files in storage and the underlying records. You can also delete any submitted entry yourself at any time, or delete your whole account, from the course page. Records we are legally required to keep (for example, payment/accounting records) are retained for the period the law requires, then deleted or anonymized.

Your rights

You can access, export, correct, or delete your data at any time. From your course portal you can download a copy of your data or delete it — deletion removes your uploads and anonymizes your profile, while preserving any records we must retain for legal reasons.

Cookies & analytics

We use a strictly-necessary cookie to keep you signed in. Non-essential analytics cookies load only after you accept them in the cookie banner, and you can change your choice at any time via “Cookie settings”.

For enrolled students, we also log course activity inside the course portal (pages opened, prompts copied or downloaded, lesson videos watched) to support course delivery and improve the materials. This is tied to your enrollment and covered by the consent you give at registration; it is included in the data you can download or delete from the portal.

Contact

Questions or requests about your data: brooks.holtom@georgetown.edu. [Confirm the data-protection contact/DPO before launch.]
